The Institute for the Study of the Ancient World [ISAW] is seeking a proactive, detail-oriented Administrative Aide II with exceptional communication and organizational skills. This position provides vital support for the Institute's academic events, exhibition program, financial operations and general office and building operations.
The Administrative Aide II will play a key role in ensuring the smooth day to day functioning of the Institute. This includes responding to inquiries with a thorough understanding of ISAW's programs, policies and activities, and providing financial support integral to the exhibition program and general office operations. The Administrative Aide II will also coordinate events during the fall and spring semester that require evening hours on one or at most two days per week with advance notice. The individual may act as a leader to junior staff and student workers.
Perform a wide range of clerical, secretarial and general office duties including those of a confidential nature. Prioritize office activities and delegate work to student and/or casual employees. May act as work leader to junior clerical support staff. Respond to inquiries displaying a comprehensive knowledge of the department's activities, policies and programs. Interact with the general public as NYU liaison and with University personnel including those at the senior level to resolve issues and problems. Customize and/or compose letters on own initiative or in response to requests for information. Perform general word processing duties utilizing intermediate to advanced-level functions. Modify and/or create databases and complex spreadsheets. Monitor complex department budgets and/or grants.
Required Education:
High School Diploma or equivalent
Required Experience:
3+ years of office experience. Experience providing a high level of customer service.
Preferred Experience:
2 years of office experience (with Associate's degree). 1 year of office experience (with Bachelor's degree).
Required Skills, Knowledge and Abilities:
Proficiency with intermediate to advanced word processing, spreadsheet and database applications. Moderate to fast, accurate keyboarding. Good proofreading and writing skills.
Preferred Skills, Knowledge and Abilities:
Proficiency with intermediate to advanced Microsoft Office or proficiency with Apple. Knowledge of desktop publishing software.
In compliance with NYC's Pay Transparency Act, the hourly rate for this position is USD $39.129. This rate is based on bargaining unit contracts. This pay range represents base pay only and excludes any additional items such as incentives, bonuses, clinical compensation, or other items.
