Position Summary

In partnership with the Assistant Dean for Operations, provide direction for a wide range of events across the school. Coordinate billing, space planning, and room set ups, including security and A/V. Create/update and propagate policies, procedures, and systems, following best practices and ensuring all regulatory compliance. Develop and manage communications and guides/training and seek post-event feedback for continual improvement. Oversee catering and manage vendor relations. Work closely with stakeholders and service providers, including the Dean’s office, Institutional Advancement, Development & Alumni Relations, Finance, IT/Media Services, as well as school and university security, facilities, and operations staff, centers/institutes, student services teams, contractors, and vendors. Note this role requires working on events, including some evenings, and weekends.

Qualifications

Required Education:
Bachelor's Degree

Preferred Education:
Master's Degree

Required Experience:
7+ years relevant experience or equivalent combination of education and experience. Must include experience with event planning, site selection, theme development, menu planning, vendor negotiations; team building, staff supervision, and budget management.

Preferred Experience:
7+ years special events' planning experience with large organizations and/or nonprofit environment. Prior experience managing third-party vendor contracts.

Required Skills, Knowledge and Abilities:
Strategic thinking: Ability to build a strategic framework for decision making in order to optimize use of resources, including, staff, vendors, space and software. Strong customer service skills including excellent interpersonal, verbal, and written communication skills. Knowledge and ability to negotiate with external vendors on behalf of the School. Working knowledge of word processing, spreadsheet, database software applications, and website development.

Preferred Skills, Knowledge and Abilities:
Coursework or extensive experience in negotiating; knowledge of Google Suite, MS Word and Excel; familiarity with scheduling/planning software; and EMS familiarity.

Additional Information

In compliance with NYC's Pay Transparency Act, the annual base salary range for this position is USD $90,000.00 to USD $130,000.00. New York University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as, market and organizational considerations when extending an offer. This pay range represents base pay only and excludes any additional items such as incentives, bonuses, clinical compensation, or other items.
